MyN4L

3.1. Overview

  1. Introduction

    MyN4L is a self-service platform containing a number of tools that provide Schools with visibility and control of their online environment. MyN4L was previously referred to as N4L’s “Self Service” portal or “Reporting app”.

3.2. MyN4L Tools

Tools may be added or removed in the continuous improvement of MyN4L. The following provides an outline of the tools available in the current release:

Online Activity - this tool provides an overview of the browsing activity on your School’s network, including information down to individual users. The user information displayed may include activity performed by a device (e.g. pop-up windows, etc.). It should not be assumed that all activity is intentionally performed by a user.

Web Filtering - this tool enables requests for changes to filtering rules.

Network Monitor - this tool provides visibility of the performance / status of your School's Wi-Fi network equipment and information regarding each of your wireless networks.

Guest Access - this tool allows Schools to manage access to your network for guests, both individuals and groups, and provide access to printing and casting for selected visitors.

Device Registration - this tool allows School IT support to register third-party and shared devices to the relevant School’s network.

Account Settings - this tool enables the management of MyN4L users. Principals and those delegated by the Principal can manage user access to tools within MyN4L.

Email Protection - this tool provides visibility of your School's emails that have been quarantined by N4L's Email Protection service, and enables the ability to review and determine whether to release quarantined emails when deemed appropriate.

3.3. Access to MyN4L

A single option for MyN4L will be provided, which will be via an online web platform. However, provision of the fully-featured Online Activity tool is contingent on the availability of requisite data to N4L systems, see “Prerequisites for access”.

  1. Prerequisites for access

    The prerequisites for N4L to accept your order for MyN4L are:

    • School needs to use the N4L-provided Internet Connection with an N4L-provided firewall.
    • In order to receive User insights throughout the Online Activity tool, your School will need to have Identity Awareness enabled on your N4L-provided Internet Connection or have Secure Access.
    • Schools need to have their network architecture configured in such a way that other systems or devices (e.g. router, firewall, layer 3 switch) do not preclude N4L systems from collecting the requisite data (e.g. device or website blocks data).
  2. Requesting access

    Requests for access to MyN4L can be placed via call or email to N4L’s Customer Support team, via interactions with N4L’s School Relationship Managers or via an online expression of interest, if made available.

  3. User accounts

    In order to ensure appropriate access control to the sensitive and personal information available within MyN4L, access is controlled by the Principal or a user with admin rights delegated by the Principal.

    It is recommended that authorised users are restricted to named user accounts (e.g. [email protected]). Access to a shared inbox is not recommended as it may enable multiple people to access sensitive and personal information.

  4. Term

    The MyN4L term begins at the point of sign-up and ends once a School either requests discontinued access to MyN4L or discontinues usage of the N4L-provided Internet Connection.

  5. Service level targets

    The service will endeavour to maintain 99.9% uptime, excluding regular maintenance windows e.g. hardware, software, security patching and upgrades.

3.4. Email Protection

  1. Overview

    The MyN4L email protection tool:

    • provides visibility of your School's emails that have been quarantined by N4L's Email Protection service; and
    • enables authorised users of MyN4L to review and determine whether to release quarantined emails (however quarantined emails that engage certain security and/or acceptable use criteria are visible but are permanently quarantined and cannot be released).
  2. School’s role and responsibilities

    • Your School’s authorised users of MyN4L are solely responsible for monitoring, and assessing whether or not to release, quarantined emails (N4L will not monitor quarantined emails).
    • Your School must ensure that all authorised users of MyN4L receive copy of your security practice guidelines, and training, to emphasise the importance of security practices, including to protect personal information that may be accessed via MyN4L.
    • Your School must ensure that your Acceptable Use Policy, ICT Policy and security practice guidelines (or other relevant policies and practices) comply with the Privacy Act in connection with the collection of and access to personal information about End Users.
